THE EARLY CHILDHOOD COMMISSION
The Early Childhood Commission (ECC) a Statutory Body of the Ministry of Education, Skills, Youth and
Information with responsibility to regulate the operation of Early Childhood Institutions is seeking to
identify highly motivated and dynamic individuals to fill the following post:
ADMINISTRATIVE ASSISTANT OPS/ADS 1 (VACANT)
Job Purpose
Reporting to the Senior Director, Regulations and Monitoring Department, the Administrative Assistant is
responsible for providing general administrative support to the Senior Director and the department.
Key Responsibilities
- Prepares special and recurring departmental reports by gathering, compiling and typing data from various sources
- Assists in the organisation of events and activities by scheduling rooms, issuing information, coordinating speakers and monitoring the budget
- Manages the department head’s calendar and arranges tentative schedules.
- Makes arrangements for Director’s and Divisional meetings; attends meetings and prepares and transcribes minutes
- Makes travel and accommodation arrangements as required
- Answers the telephone, screens callers, and takes and relays messages
- Orders office supplies for the department and maintains all associated records
- Maintains a calendar of Divisional Employees’ Performance Evaluations; ensures that Evaluation Forms are collected from and dispatched to the relevant personnel.
- Maintaining Personnel Files;
- Maintains investigations files on child abuse and critical incidents in ECIs
- Keeps the Senior Director up-to-date on the status of investigations and pertinent regulatory matters
- Keep up-to-date Verification forms for inspection visits and inspectors’ tool kit verification forms.
- Represents the Department at meetings, conferences and other fora as required.
- Prepare technical and legal reports.
- Researches and collates information for sharing with internal and external stakeholders
- Communicate on behalf of the Director to partner MADs regarding the legislative framework
- Verify and validate documents for the issuance of a permit to operate and a certificate of registration
- Prepare the power of entry for inspectors
- Prepare a gazette list of inspectors and certified ECIs
- Maintain updated forms and documents in keeping with ISO: 9001:2015 guidelines
Minimum Required Qualification and Experience
- First Degree in a Social Science or A Diploma in Administrative Management/CPS plus three (3) years’
experience at the senior Secretary Level; or - Proficiency in secretarial studies plus five (5) years’ experience at an Executive Secretary Level
Remuneration: Salary Scale $2,190,302 – $2,945,712.00 per annum, and any other allowances attached to the post
